AI accounting automation
AI accounting automation that a partner signs off.
Minns agents take the manual work of a practice: the books, the chasing, the deadlines and the year end. A named person at the firm approves what goes out.
What the agents do
Each agent has one job, and a person releases its work.
The agents prepare and draft; a person releases, approves and files. These jobs run for our design partners today.
- Bookkeeping
- Each new bank line gets a suggested account and VAT code, with how sure the agent is and why. The ones it is unsure of are put to a person.
- Chasing
- Every morning a chase is drafted for each client whose records are still out, stepping up as the date nears, in the firm's voice.
- Deadlines
- Every client's statutory dates on one board, from Companies House, HMRC and the books, with where each one stands.
- Client mail
- Unanswered client emails and portal questions get a drafted reply before the day starts, waiting in the firm's drafts.
- Year end
- Accounts prepared from the trial balance, the director's loan and dividends checked, and an R&D claim prepared for the partner to sign.
Your software
Minns reads the books from Xero, QuickBooks or Sage, so nobody retypes them.
Minns reads the books through the firm's own connection into a double-entry engine and keeps them current.
- Xero and QuickBooks Online
- Pulled whole on the first connection, then a nightly pull that asks only for what changed.
- Sage
- Sage Business Cloud Accounting through its API. Sage 50 has no API a service can reach, so its books come in as the exports a person uploads.
- Xero Practice Manager
- Staff, clients and current jobs synced every 30 minutes, read only, so the board starts from what the firm already keeps.
Automated bookkeeping
The engine does the sums; a person answers what it cannot place.
The agent explains each bank line it can and asks about the rest. A person answers once, and the answer can become a rule, so next month the same supplier is placed before anyone looks.
- The same close every month
- The month end runs as a fixed workflow: rules applied, the bank reconciled, the checks run, then a person approves and the month locks.
- Journals proposed
- Accruals, prepayments and corrections are drafted with their evidence and posted only on a person's yes.
- A check that fails says what
- A trial balance out, money left in suspense, a line nobody explained: the run waits and names it.
Partner sign-off
Nothing goes out without a named person at the firm.
An agent with access to a practice's books needs controls built in. These are part of the product, not a setting.
- Drafts, not sends
- Chasers, replies and letters wait in the firm's drafts until a person releases them.
- Named approvals
- A return or a set of accounts is approved by a named person at the firm before it can be filed.
- Clients kept back
- One switch on a client keeps the agent off that file. The board shows which clients are kept, and by whom.
- Credentials out of reach
- HMRC, Companies House and bookkeeping credentials stay in the vault. An agent never sees them.
Choosing any AI tool? Our guide to using AI safely in a practice lists the questions to ask a vendor, us included.
Accuracy
Tax answers show their sources, and figures come from the books.
The agent uses the engine's figures, never its own arithmetic, and leaves a value blank when the books do not hold it.
- Sources under every tax answer
- The agent searches HMRC manuals, legislation and the firm's own notes, and the passages it relied on are shown under its reply.
- No source, flagged
- A tax or compliance answer that cites nothing is marked for a reviewer to check.
- A record of each step
- What the agent read, what it changed and who approved what, kept for the reviewer and the insurer.
Questions a practice asks
Straight answers.
- Does the AI post or file anything by itself?
- Nothing is filed, sent or released without a named person at the firm. Journals wait for a yes, a month locks only on approval, and returns and accounts are approved by a person before filing.
- Which software does it work with?
- Xero, QuickBooks Online and Sage Business Cloud Accounting for the books, Sage 50 through its exports, Xero Practice Manager for clients and jobs, and Companies House and HMRC for the registers.
- Where do the figures come from?
- From a double-entry books engine fed by the client's ledger through your connection. The agent reads its reports and drafts around them; it does not work figures out itself.
- How do we know where an answer came from?
- The sources the agent relied on are listed under its reply, with their references and dates. A tax answer with no source is marked for a person to check.
- Can we keep a client away from the agent?
- Yes. One switch on the client keeps the agent off that file entirely, and the board says who kept it and when.
