AI for accountants

AI agents for your practice, with a named person on every filing.

Minns agents work inside the practice: they chase records, answer client mail, prepare the VAT return and the accounts from the books, and put each one in front of the person who approves it. They never file, send or release anything on their own.

Works with Xero, QuickBooks Online and Sage, Companies House and HMRC. An agent can be kept away from any client you choose.

The team, this morning: each agent on its own job, each one waiting for a person before anything leaves the building.

    Why Minns

    Three things to know first.

    They remember every client
Every fact is kept with the dates it was true: last year's address and this year's, which return each belongs to, what you told the agent about this client in March. Tell it once and your answer becomes a rule it follows.
The figures are never the model's
VAT boxes, the trial balance, the CIS deductions and the accounts are computed by a double-entry books engine. The agent reads them, explains them and drafts around them. It does not invent a number, and a value the books do not hold is left blank, not guessed.
    You sign, and it shows
A filing to HMRC, a release to a client, a chase sent: each waits for a named person. The approval is checked against the exact figures you saw, and who approved what, and when, is kept for your reviewer and your insurer.
    What the agents do

The work an agent takes, job by job.

Each of these is shipped and running for our design partners. The agent prepares and drafts; a person at the firm releases, approves and files.

    • The morning run

Every morning the agent reads the board, drafts a chase for each client whose records are still out, stepping up as the date nears, and drafts an answer to every client email that has gone unanswered. All of it waits in your drafts.

Drafts only. Nothing is sent until a person at the firm releases it.

    • Client questions, answered from the file

A client asks what they owe, when the accounts are due or why a figure moved. The agent answers from their books, their board and the firm's own guidance, in the firm's voice, and shows where each fact came from.

    • Returns prepared from the books

The VAT return's nine boxes, the CIS300 from subcontractor bills, FRS 105 and FRS 102 accounts from the trial balance, the CT600 computation. The engine computes; the agent prepares the pack and the note for the approver.

    • Guidance it can cite

The agent works with a library of HMRC manuals, legislation at the right point in time, Companies House guidance and the firm's own notes, and cites the passage it relied on. The firm's rules outrank the manual.

    • A memory of each client

What a client is called, which bank feed is theirs, how their director likes to be chased, the answer you gave last quarter. Kept with dates, never overwritten, applied the next time without being asked.

    • Governance, client by client

A client you would rather work by hand is kept from the agent with one switch. The agent is told so and goes no further; the board says which clients are kept, and by whom.

    How it happens

From the books to an approval, in order.

    1. 01

Connect the books and the registers

Xero, QuickBooks Online or Sage through your connection, Companies House, and your HMRC agent services account. Credentials stay in the control plane; an agent never sees them.

    2. 02

The agent reads each client's file

The ledger, the statutory dates, the portal messages and what the firm has told it. Facts are kept with the dates they were true.

    3. 03

      It works the morning

Chasers drafted, client mail answered in draft, the quarter's return prepared when one is due, a note for the file where something moved.

    4. 04

      A person approves by name

The approver sees the figures, the client and the control. The approval is bound to exactly that; a return that changed since is refused and prepared again.

    5. 05

      The record is kept

Who approved what and when, the receipt from HMRC, every action the agent took and what it read. For the reviewer, the insurer and the client.

    Where the line is

What an agent may do, and what only a person may.

An agent with access to a practice's books and HMRC is an incident waiting to happen unless the controls are built in. These are.

    The agent may

Read the board, the books, the registers and the firm's guidance library. Mark a client's records requested, in, or prepared. Draft a chase, a letter, an answer to a client's question, a note for the file. Prepare the return and the accounts from the engine's figures.

    Only a named person may

Release a chase or an answer to a client. Approve a return or a set of accounts, and so let it be filed. Mark anything approved or filed. Connect the firm's HMRC account or change a client's references.

    Never

Type a card number, hold an HMRC token, change a figure the engine computed, or act on a client the firm has kept from it. A secret never reaches a prompt, a note or a record.

    Questions a practice asks first

    Straight answers.

Does the AI file anything itself?
No. Every submission to HMRC or Companies House, every email to a client and every release waits for a named person at the firm, who approves against the exact figures they saw.
Where do the numbers come from?
From a double-entry books engine fed by the client's ledger through your connection. The agent never computes a VAT box or a balance itself, and a value the books do not show is left blank.
Can we keep a client away from the agent?
Yes. One switch on the client keeps the agent off that file. The agent is told so and goes no further, and the board shows who kept the client and when.
    What does the agent see?
The client's books, deadlines and portal messages, the firm's guidance and what the firm has told it. It never sees HMRC tokens, Companies House keys, bookkeeping credentials or card numbers.
What happens when it is unsure?
It says so and asks the person. It does not pick the closest answer, and a figure it cannot trace to the books is not written.
Which software does it work with?
Xero, QuickBooks Online, Sage 50 and Sage Business Cloud for the books; Companies House and HMRC's agent services for the registers and filings.
