Your business · You stay in charge

An assistant you can leave to get on with it, because it asks first.

Your assistant asks before it sends anything or pays for anything, and shows you exactly what it means to do. It remembers your business in files you can read and correct, keeps your personal details in a vault of their own, and gets more room only when you give it.

Approve from the Minns app, email, Microsoft Teams, or a yes or no by text or WhatsApp.

Sends, shares and payments as they wait for you. Example names and amounts.

01 · Asks before it acts

What leaves your business waits for you, exactly as it will happen.

Anything your assistant would send out through your connected apps asks you first: an email, a reply, a forward, a post, a share or an invite. So does every payment, of every amount, and an action carrying a large sum. You see who it goes to and the exact words, and what you approve is what runs, once.

Not everything waits, and we would rather say so. Adding or changing things in your apps, such as putting an entry in your diary or updating a record, goes ahead unless your assistant is set to ask before every change. Phone calls it makes are not held for approval either. Reading never asks.

    • An approved action is carried out once, even if something retries it.
    • A connection you made read only can only ever read.
    • Payments wait for a person whatever else you set, and your assistant never types a card number.
02 · Trust you can give

More room, one kind of action at a time, when it has earned it.

Each kind of action has its own level: draft it for you to do, ask first, do it and tell you, or just do it. Where an assistant is set to ask, after eight approvals of one kind in a row with nothing turned down, it offers to do that kind and tell you. After twenty more that nobody said were wrong, it offers to just do them. Nothing moves until you say yes.

It moves down on its own. Turn down an approval, or say something it did was wrong, and that kind goes back to asking. Deleting, cancelling and anything else that cannot be undone never goes past asking, and payments always wait.

    • Drafts and new documents start at do it and tell you, since only you see them until you act.
    • Whoever manages the assistant can set each level on its sheet.
    • An offer you turn down is not made again for a week.
    03 · Remembers your business

What it knows, written down where you can read and correct it.

Every assistant keeps its memory in plain files: how you like things done, who your customers and suppliers are, what it learned from the last job. It reads them at the start of each conversation and keeps them up to date, with a file for a customer kept in that customer's name.

Anyone who can see the assistant can read its memory on its sheet, and whoever made it can correct or delete a file. A wrong fact is fixed there, not argued with in chat. Each file says who last changed it, from which conversation, and when.

    • Each assistant has its own memory; nothing crosses between assistants.
    • Memory holds preferences and know how. Exact personal details belong in the vault.
    • A shared memory across the team's assistants and synced data can be added on top.
04 · Your details, locked away

Personal details in a vault of their own, used only when you let them.

Your passport and National Insurance numbers, addresses, vehicles and files like a CV or a passport scan live in your personal vault, a separate service with its own database and a key for each person. Minns decides who may use what, and hands out a grant that lasts minutes, but does not keep your details itself.

Plain details your own personal assistant may use. A sensitive one is asked for each time, with Allow once, Always allow or Deny, unless you chose Always allow for that field. A shared team assistant never gets a sensitive detail, and a scheduled run nobody started gets plain details only.

    • Passwords, PINs and card details are refused if anyone tries to save them.
    • The first time a sensitive detail would be typed into a new website, you are asked, naming the site.
    • Every read or change is listed with who did it and when.
    The use case: earning trust

From asking every time to telling you after, and back again.

One kind of action, sending replies from your Gmail, over a few weeks.

    1. 1 SEP

      Gmail connected

Your assistant drafts replies to customers. Each one asks you before it goes, and you approve them from your phone.

    2. 19 SEP

      Eight in a row

You have approved eight replies with none turned down. In your conversation it offers to send replies and tell you afterwards.

    3. 19 SEP

      You say yes

From now on it sends replies and tells you, each with a way to say it was wrong. Payments and shares still wait for you.

    4. 3 OCT

      One was wrong

A reply quoted last year's price. You mark it wrong, and sending replies goes straight back to asking.

    5. 3 OCT

      Memory corrected

You open how-we-work.md and change the price. Every conversation after reads the new one.

Example conversation. The offer is made only after a run of approvals, and only you can accept it.

    Who decides

It does the work. You make the calls.

What the assistant may do on its own, and what only you, or someone you choose, may do.

    The assistant may

    • Read what your connected apps let it read.
    • Draft emails, documents and replies for you.
    • Keep its memory files up to date as it works.
    • Use plain personal details when you let it, and ask for sensitive ones.

    Only you may

    • Approve a send, reply, post, share or invite, and every payment.
    • Give an assistant more room for a kind of action, or take it back.
    • Correct or delete what it remembers.
    • Pause an assistant, export your data or delete your account.
    Questions owners ask first

    Straight answers.

Does everything wait for my yes?
No, and we would rather be plain about it. Sends, replies, forwards, posts, shares, invites and every payment do. Adding or changing things in your apps, such as a diary entry, goes ahead unless the assistant is set to ask before every change, and phone calls are not held.
Can it act on something an email or website tells it to do?
What it reads in mail and on web pages is information for it to weigh, not your say so. A run started by an email is marked as carrying outside content from the first step, and anything it would send still waits for you.
    How do I stop it?
Pause the assistant. Everything it does on its own stops: standing jobs, its schedule, the inbox it watches. It still answers you, nothing is deleted, and you choose when it starts again.
Where do my personal details go?
Into your personal vault, a separate service with its own keys. Minns grants short lived access to the fields a task needs and keeps none of the values. Erasing your account removes them for good.
Can I get my data out?
Yes. You can export your account's data, and delete your account, which removes your assistants, connections and books. Financial records we must keep, such as invoices for what you paid us, are kept.

    Give your business an assistant.

Connect your mail, calendar and books in a few minutes. It works the way you do, and asks before it acts in your name.
