Your business · Your team

One assistant for you, and the ones the whole team shares.

Everyone on your team can have an assistant of their own, working with their own mail and diary. The business shares others: one on the team inbox, one on the books. Each person sees what is theirs, and each decision reaches the people who may make it.

Approvals in the Minns app, by email, in Microsoft Teams, Slack and Telegram, and by text or WhatsApp.

Example team. Each person's own assistant is theirs alone; the shared ones are listed for everyone they are shared with.

    01 · Personal and shared

Each assistant is for someone, and you can see who.

An assistant you make is yours alone until you share it. You can share it with the teammates you pick, or with the whole team. Only the person who made it can share it or take it back, and anyone picked or taken off is told.

A personal assistant works with your own connections: your mailbox, your diary. A shared one works with the team's connections, so the business's Xero or the shared inbox belong to the business and not to whoever set them up.

    • Who an assistant is for: only you, people you pick, or the whole team.
    • Taken off an assistant, a person's standing jobs on it stop on their own.
    • People outside the team are never added here. They come in through a room.
02 · Mailboxes stay with their people

Your inbox is only ever watched by your own assistant.

You can point one of your personal assistants at your own Gmail or Outlook, so a new email becomes work for it. Nobody can point a shared assistant at your inbox, and an assistant watching your inbox cannot be shared until it stops.

The team inbox works the other way round. An owner or admin points a shared assistant at it, through the team's connection, and taking that assistant back to one person is refused while it is watching. Sharing an assistant never shares somebody's mail.

    • Watching an inbox is never an automatic reply: anything sent waits for a yes.
    • Approvals raised while an assistant worked in your mail or diary go to you alone.
    • Only an owner or admin can stop the team inbox watch.
03 · The right person says yes

Each approval goes to the people who may give it, wherever they are.

When an assistant needs a yes, the card goes to the people who can decide it: the person it was working for, or for a shared assistant's work for the team, whoever may change that assistant, otherwise the team's members who approve work. Viewers look and do not decide.

The card arrives as a notification on your phone, in the conversation it came from, by email with approve and reject links, as a card with Approve and Decline in Microsoft Teams, and on the messaging apps you linked. Deciding it in one place settles it everywhere.

    • Several cards from one assistant within 20 seconds arrive as one phone notification.
    • By text or WhatsApp, reply yes or no when one approval is waiting for you; with more, you get a link.
    • Emailed links work once and expire after 72 hours.

The same card is in the app, the email and Teams. Whoever answers first decides, and everyone else sees it settled.

    04 · Rooms

Work with people outside the business, and their assistants, in one place.

A room is a shared conversation with people from outside your team, such as a customer, a supplier or your accountant. You bring your assistant in and invite people by email; they accept from their own Minns app and everyone sees the same conversation.

Your assistant in the room uses only what you share into it: the room, the files either side sends, the web, and the apps you switch on for that room, each as look only or able to act. Never your memory or your other apps. Guests can bring their own assistant, which works as theirs, on their account, with the apps they choose.

    • You pay for your assistant's work in the room, up to a monthly limit you set.
    • A yes an assistant needs in the room goes to that assistant's owner, and the room hears how it went.
    • Your side ends the room; a guest can leave whenever they like.
    The use case: one approval

A shared assistant asks, and the right person answers from where they are.

Front desk is shared with the whole team and watches the team inbox. You own the account and Priya is an admin. You are on a site visit; Priya is at her desk.

    1. 09:02

      A reply is ready

Hale Homes asks to move Thursday's fitting. Front desk drafts a reply offering Friday at 9am and asks to send it from the team's Gmail.

    2. 09:02

      The card goes out

It goes to the people who may decide the team's work, you and Priya: in the app's inbox, by email, and as a WhatsApp message to the phone you linked.

    3. 09:03

      One notification, not three

Two more cards from Front desk follow within seconds. Your phone shows one note: Front desk needs 3 decisions.

    4. 09:15

      Priya decides

Priya reads the reply in the app and approves it. It is sent once, exactly as she saw it.

    5. 09:40

      You catch up

Between visits you open the app. The card reads approved by Priya, and two are left for you.

Every decision is kept with who made it, where and when.

    Who decides

It does the work. You make the calls.

What the assistant may do on its own, and what only you, or someone you choose, may do.

    The assistant may

    • Work for the person it belongs to, with their connections.
    • Work for the team with the team's connections, when it is shared.
    • Bring each decision to the people who may make it.
    • Answer in a room when it is named, with only what you shared into it.

    Only you may

    • Share an assistant you made, or take it back.
    • Point your own assistant at your own inbox.
    • Point a shared assistant at the team inbox, as an owner or admin.
    • Invite people to a room, choose its apps and set what it may spend.
    Questions owners ask first

    Straight answers.

Can a colleague read my email through a shared assistant?
No. Your own inbox can only be watched by one of your own personal assistants, and an assistant watching it cannot be shared until it stops. Approvals from work in your mail or diary come to you alone.
    What can each role do?
Owners do everything, billing included. Admins build and change the team's assistants and apps and add people. Members use the team's assistants and approve their work without changing them. Viewers look and do not change anything.
Can I approve from Teams or by text?
Yes. Teams gets a card with Approve and Decline. By text or WhatsApp, reply yes or no when one approval is waiting for you; when several are, you get a link to decide each in the app.
Do guests in a room see my other work?
No. Your assistant in a room uses only the room, the files shared in it, the web and the apps you switched on for it. Never your memory, your other apps or your other assistants.
Who pays when a guest brings their own assistant?
They do. A guest's assistant runs on their account, with the apps they choose for the room. You pay for yours, up to the monthly limit you set for the room.

    Give your business an assistant.

Connect your mail, calendar and books in a few minutes. It works the way you do, and asks before it acts in your name.
